										<content:encoded><![CDATA[<p>Welcome to another Q&amp;A, on this last Tuesday of the month.</p>
<p>Today’s question comes from Winona, and references a previous reflection I wrote. Winona asks:</p>
<blockquote><p>In <a href="https://stephenullstrom.com/embracing-the-subjective-side-of-indexing/">your post on the subjective side of indexing</a>, you write that two indexers can produce different indexes for the same book, but that there should still be significant overlap because the text’s aboutness remains the same. Is there any practical way to quantify that overlap? For instance, after accounting for defensible differences in wording, formatting, and structure, should a certain percentage — say, 50% or more — of top-level entries overlap?</p></blockquote>
<p>Thank you, Winona. That is an excellent question. If a certain amount of overlap is expected, it is reasonable to ask if that overlap can be quantified.</p>
<p>My short answer is no, I do not know if there is a practical way to quantify that overlap. I am also not sure if it is possible to ever fully quantify it. I imagine a lot would depend on the subject matter and type of book, as well as, of course, the subjective approach each indexer brings.</p>
<p>To attempt a quantitative answer, I think you would need to analyze multiple indexes from multiple indexers across several books. I have not done that research. If someone else would like to do so, I think the results would be fascinating.</p>
<p>I will, however, still attempt a response. While I do not have hard numbers, this is a question worth considering and I have some thoughts about what to look for in terms of overlap. I am mostly drawing upon my experience working with subcontractors. While subcontracting is not an exact comparison, since there is usually one indexer providing direction, subcontracting does involve two or more indexers working on the same text.</p>
<p>I also highly recommend this <a href="https://www.liverpooluniversitypress.co.uk/doi/10.3828/index.2026.22">article by Jolanta Komornicka, recently published in </a><i>The Indexer. </i>Jolanta convened two panels, at two different conferences, for which participating indexers indexed the same book. Jolanta attempts to answer this very question, of how similar or different the resulting indexes are. Definitely worth checking out.</p>
<p>When considering overlap between indexes for the same book, I want to distinguish between main headings and everything else.</p>
<p>At the main heading level, I would expect a high level of overlap. Most terms are not up for interpretation. People, places, organizations, and objects should generally be indexed as written in the text. Concepts which are clearly identified in the text should also usually be indexed as presented.</p>
<p>There is still some room for variation and the indexers’ subjective choices. For example, whether or not to include glosses, and how to phrase the glosses; how to handle synonymous terms; what counts as a passing mention, and, conversely, which are important themes and discussions; and any discussions which are implicit and which require more interpretation. But by and large, I would expect main headings to mostly be similar across all indexes.<span class="Apple-converted-space"> </span></p>
<p>Beyond main headings, I think there is far more room for different decisions to be made. These include:</p>
<ul>
<li><b>Metatopic:</b> How is the metatopic handled?</li>
<li><b>Structure:</b> How is information divided or gathered throughout the index?</li>
<li><b>Subheadings:</b> How many subheadings are used? Are subheadings mixed with undifferentiated locators? How are subheadings phrased?</li>
<li><b>Cross-references: </b>Are cross-references used sparingly or extensively? In which directions are cross-references pointing? Are cross-references used alongside or instead of double-posts?</li>
</ul>
<p>At the level of structure and subheadings, there are so many different decisions that can be made. There should be recognizable overlap in terms of themes and correspondence to the text, but I don’t know if it is possible to quantify how much overlap or to expect that certain subheadings and arrays will be interchangeable.<span class="Apple-converted-space"> </span></p>
<p>To sum up, I would expect a high level of overlap between main headings, since many terms should be indexed as is. But indexing is a lot more than simply identifying and picking up terms. An excellent index involves organizing all of those terms in a way that is accessible and to highlight the key themes of the book. <i>How </i>all that organization happens is very much subjective. While the indexes should all still clearly point back to the same text, I don’t know if it is possible to fully quantify overlap.</p>
<p>Shifting directions slightly: I think what the creators of AI indexing tools are attempting to do is to quantify or codify indexing decisions. Or at least they believe that a good index is simply the result of following a certain set of rules. But that is not entirely true. Yes, an index is deeply governed by rules and conventions, and an AI tool can probably reproduce those rules and mimic various techniques. But an excellent index is ultimately the result of the indexer’s judgment. It is deciding which rules to apply, and when, and how to combine techniques, and how to make adjustments to fit the material rather than trying to force the material to fit the format. The subjective nature of writing an index, while difficult to quantify and difficult to compare, is also a superpower, enabling indexes and indexers to respond to the text and to readers.<span class="Apple-converted-space"> </span></p>

										<content:encoded><![CDATA[<p>I’ve been thinking recently about why I enjoy writing indexes. Put another way, what would I lose if I handed the task over to an AI tool?</p>
<p>Counterintuitively, I enjoy indexing because it is difficult. Sure, there are plenty of days I complain about a chapter being too obtuse or I’m anxious because an index is taking longer to edit than I anticipated. But if writing an index were easy, I’d lose interest and want to do something else.</p>
<p>I’ve been thinking of this in the context of a <a href="https://www.theguardian.com/news/ng-interactive/2026/jan/29/what-technology-takes-from-us-and-how-to-take-it-back">recent article by Rebecca Solnit, published in </a><i>The Guardian. </i>Solnit writes about the lies that Big Tech tells us, including about AI, and what we can do to resist.<span class="Apple-converted-space">  </span>One of the lies that really resonated with me is that our work is too difficult. Why should we have to do hard things ourselves? Better to give it to AI to do on our behalf.<span class="Apple-converted-space"> </span></p>
<p>What Solnit points out, as does Oliver Burkeman in his book <i>Four Thousand Weeks </i>(which I also highly recommend), is that it is often the friction in our work and daily interactions that makes life meaningful. By friction, they don’t mean conflict, but rather things like needing to interact with a human barista to order a coffee as opposed to ordering through an app or screen. For me, tasks with good friction would also include mowing the lawn or shoveling snow, which, while involving time and effort on my part, are also opportunities to be physically active outdoors in the fresh air away from my computer screen. Or, the friction involved in writing an index. For me, at least, it is the intellectual labor of problem-solving and learning interesting things, along with feeling like I am part of a larger team working together to produce the finished book, that makes indexing a meaningful and worthwhile endeavor.<span class="Apple-converted-space"> </span></p>
<p>Of course, no one wants their life to be all friction. What is a pleasurable challenge for one person may be someone else’s mind-numbing drudgery. For me, while I probably could design a new website for myself, it is not my top interest or skillset and I’m happy to hire someone else. I also see this with authors and publishers who hire me to write an index. Could they write the index themselves? Probably, given enough time and maybe some coaching. But they already have enough difficult things to do and hiring an indexer is easier.<span class="Apple-converted-space"> </span></p>
<p>So the value of work, for our satisfaction and well-being, lies partly in its difficulty and our ability to overcome that difficulty, yet we don’t want everything in our lives to be difficult. Doesn’t this swing back around to the value of AI or other Big Tech tools? Why hire a web designer or an indexer when you can instead hire an AI tool to do the work for significantly cheaper and faster?</p>
<p>I think this speaks to another lie that Solnit identifies, which is the scarcity of people. It is too hard to find someone qualified and available. They probably don’t exist anyway. Better to use AI, which is always available.</p>
<p>I think this lie is quite insidious and perhaps a self-fulfilling prophecy. If we, as a society and industry, don’t nurture human talent, is it any wonder that it may disappear? But that human talent does exist. And the friction of interacting with other people, to delegate and work together, makes the work more meaningful. It cuts through the isolation of being siloed alone with my computer and whatever apps Big Tech sells me.</p>
<p>I am concerned about the new AI indexing tools which are being developed. There is the concern of whether those tools will ever develop to the point of being legitimate competition to the quality of human-written indexes. There is the concern of whether some publishers, in their push to industrialize publishing and squeeze out all the profit for themselves, will use AI anyway, despite quality issues, simply because it is cheaper and faster. Those are excellent concerns and worth paying attention to.</p>
<p>But what feels even more existential to me is the question, do I even want to work with AI indexing tools? Even if I could leverage such tools to work five or ten times faster, indexing ten or fifteen books per month instead of three to five, would I still enjoy the work? Would writing an index still be a satisfying intellectual puzzle? Or would I be delegating most of that intellectual labor to the machine, and churning out indexes too quickly to meaningfully absorb and process what I am reading and piecing together?</p>
<p>I think the answer is no, I would not enjoy that kind of work.</p>
<p>I have to admit I am starting to think about how I may exit indexing if the industry changes too much and human-written indexes are no longer valued. What else could I possibly do where I can continue to problem-solve, be creative, and still feel like I am part of a community of people?</p>
<p>Thankfully, I don’t think I need to make a decision yet. The silver-lining, perhaps, is that the publishing industry is vast and segmented. Even if some segments turn to AI tools—and I’m pretty sure some will, the same segments that are already heavily invested in contracting to offshore companies and industrializing the production process as much as possible—I’m hopeful that not all segments will. Some publishers are still committed to creating quality books and to working with human freelancers.<span class="Apple-converted-space"> </span></p>
<p>I don’t want to be completely against AI. It sounds like there are some areas in which it is genuinely useful. And I don’t want to alarm you too much, especially if you are new to indexing. I want to believe there is still a future for human indexers, and that the work will continue to be challenging and meaningful in all the right ways.</p>
<p>I think it is also important to try to be aware of new developments and to think through all implications, beyond the hype and lies that Big Tech wants us to focus on.<span class="Apple-converted-space"> </span></p>
<p>If AI tools are adopted by indexers and in the publishing industry, they need to be accurate and reliable, obviously. But more than that, they need to support human work and human workers. Replacing indexers (and editors, designers, etc…) does not make for a healthy work environment, nor, I would suggest, for books that are written and produced with humans in mind. For an industry and world in which humans can thrive, people need to be kept at the forefront.<span class="Apple-converted-space"> </span></p>

										<content:encoded><![CDATA[<p>How accurate does an index need to be?</p>
<p>Repeating this out loud to myself, it sounds like a trick question. The value of an index is tied, in part, to its accuracy, right? Of course an index needs to be accurate.</p>
<p>Considered another way, I don’t expect a human written index to be 100% accurate. Perhaps instead of “accurate,” better to say “correct.” Humans are fallible, including myself. I know, or at least suspect, that errors make their way into the indexes that I write. Clients will occasionally point out the odd misspelling or omission that they spot during their review. For which I apologize and gladly correct.</p>
<p>But I still strive for the indexes I submit to be as accurate as possible. I believe that my editing process is thorough and I am confident that I catch most errors before indexes ship. So is the accuracy of my indexes good enough?</p>
<p>I have a theory that if a reader finds more than 3-4 errors or barriers in an index, then the reader will lose trust in the index and will stop using it. I don’t actually know if this is true or not; I haven’t scientifically tested it. And, a user may simply be unlucky enough to hit upon the handful of errors that do exist, even if the index overall is quite good. But I think there is something true about people not using tools if they lack trust in the tool’s usefulness. An index needs to prove itself to be trustworthy, and part of that is being accurate.</p>
<p>Before I go further, what do I mean by accuracy? A subject index, after all, has an inherently subjective aspect in the decisions about what to pick up, how to phrase headings and subheadings, how to structure the index, and how best to fit the space available. How can accuracy even be measured?</p>
<p>To start, as a baseline, locators need to match the text. For a subject index, the the broad sweep of the book needs to be recognizable in the index. <i>How </i>exactly the contents of the book are translated into the index will vary from indexer to indexer, and also depend on constraints such as space, but generally speaking, the reader should have an accurate sense of the book from the index. For other types of indexes, such as a name or scripture index, the general rule is that every mention is picked up, and so in that context, accuracy also encompasses thoroughness.</p>
<p>If a reader can trust that an index is accurate in these senses, then I believe they are more likely to use the index. If a reader loses trust because they are finding errors or omissions, my theory is that they will stop using the index and the index is now wasted words on the page.<span class="Apple-converted-space"> </span></p>
<p>I’ve been thinking about all of this because I was contacted last week by a new company, <a href="https://www.indexerlabs.com">IndexerLabs</a>, which is developing AI indexing tools. IndexerLabs has already released a tool specifically for scripture indexes and appear to also be developing a tool for subject indexes.</p>
<p>For scripture indexes, IndexerLabs claims an accuracy rate of 99.1%, compared to the original, human-written indexes. It sounds impressive, doesn&#8217;t it? One of the criticisms of AI indexing tools, from the <a href="https://asindexing.org/ai-and-indexing/">American Society for Indexing (ASI)&#8217;s AI committee</a>, and others, is that these tools are neither accurate nor thorough. Has IndexerLabs managed to crack that problem?</p>
<p>My concern, though, is that an accuracy rate also implies an error rate. For a short index, with about 300 scripture references, a 0.9% error rate would lead to about 2-3 incorrect entries. For 600 references, about 5-6 incorrect entries. For 1500 references, about 13-14 incorrect entries. And so on, as the number of scripture references increases.</p>
<p>Personally, I am not comfortable with there being 13-14 incorrect entries, or more, even for a large book and index. I would expect myself to do better. If I subcontracted, I would expect the subcontractor to do better. Not a 100%, given that we are human, but better.<span class="Apple-converted-space"> </span></p>
<p>Humans have the potential to recognize their mistakes and to build in ways to double check and correct. When I write a scripture index, or any index, I frequently stop—a few seconds at a time—to confirm that locators and headings are accurate. So far as I know, AI finds and decides based on an algorithm and probability. It does not review its own work. <span class="Apple-converted-space"> </span></p>
<p>If an AI tool has a discernible error rate, then how much error is acceptable? Am I supposed to still approve the work? Is the author and publisher supposed to accept that a certain percentage of the index is likely inaccurate? Or, do I try to edit the output to find and correct errors? Editing someone else’s index can be very tedious and time-consuming, especially if I don’t trust the work and feel compelled to check every entry. So editing the work could negate the time-savings.<span class="Apple-converted-space"> </span></p>
<p>My purpose in writing this isn’t to beat on IndexerLabs. I have not yet tried their tool. I also acknowledge that I have, in the past, expressed interest in an AI tool to pick up specific, easily identifiable entries, such as scripture references, that can be time-consuming to pick up. While I remain skeptical about AI’s ability to index, and I believe that any AI tool should be thoroughly tested, I also think it is important to keep a somewhat open mind and to be aware of new developments.</p>
<p>I am concerned, though, when the completeness or readiness for publication of an index is framed in terms of its accuracy as measured by a percentage. While agreeing that indexes absolutely need to be accurate, if accuracy becomes something quantifiable, does that normalize a certain amount of error?</p>
<p>Being human, I know that no index is perfect, including the indexes I write. I’ve made my peace with that. I also still think that humans are best positioned to write accurate, truth-worthy indexes. Humans best understand the end user and the end goal of the index, and humans can learn how to find their own errors and to course correct.</p>
<p>I don’t want to live in a world or work in an industry in which error and substandard quality is accepted simply because the tool is cheap, convenient, and fast. We can do better, as a society and industry. Humans can do better.<span class="Apple-converted-space"> </span></p>

<p>I’ve been thinking about this question over the last couple of weeks. There have been parallel discussions on the <a href="https://idg.groups.io/g/main">Indexer&#8217;s Discussion Group (IDG)</a> and <a href="https://cindexusers.groups.io/g/main">CindexUsers</a> email lists about AI and indexing, in response to Ben Vagle’s announcement of his latest AI indexing tool, <a href="https://www.indexia.tech">Indexia</a>. <p>You may recall that Ben released a different AI indexing tool earlier this summer, <a href="https://ai-indexing.com">AI-indexing</a>, which I mentioned <a href="https://stephenullstrom.com/ai-and-the-nature-of-indexing-work/">here</a>. This new tool seems to be an upgrade or a rebrand; I’m not sure how it is different, to be honest. It is described as a “professional indexing assistant,” capable of “generat[ing] a fully structured initial draft with terms, contextual subentries, and page references—giving you a professional starting point in minutes, not weeks.” I believe Indexia is still in the beta stage. I have not tried it.</p>
<p>In the ensuring discussions and Ben’s responses to questions, I was struck by the emphasis on term extraction. In Ben’s program, AI identifies and extract terms, along with their context and locators, which the human indexer can then edit. A “fully structured initial draft” is promised, but what does structure mean in this instance? Looking at the examples on the Indexia website, I wonder if structure actually means format, as in alphabetical sort and punctuation and tabs in all the right places.<span class="Apple-converted-space"> </span></p>
<p>I thought again about term selection and structure last week while corresponding with a client. When the author contacted me, they also sent a list of terms that they had already written. I thanked them for the list, and explained that I would take it into consideration while also reading their book and selecting terms myself. The author then asked about my process for creating “the list.” Which is a great question and I was happy to answer. But I was struck by the use of the word “list.” When I index, I don’t think of it as compiling a “list” but rather as writing an index.</p>
<p>In both of these instances, I wonder if there is a misconception that an index is essentially a list. It is as if structure is a byproduct of arranging headings and subheadings in a certain way. No more complicated than that.</p>
<p>Flip through a handful of nonfiction books on your bookshelf and you are likely to find at least one index that does look like a list. There is no, or very little, sense of movement and relationship between terms. There are no, or very few, cross-references. Subheadings may be sparse. All of the headings—names and concepts—exist on one level.<span class="Apple-converted-space"> </span></p>
<p>I like to think of those indexes as flat. They give the impression that not much is happening.</p>
<p>For some books, a list-like approach is indeed appropriate. I am not trying to say that every index needs to be complicated. But if the author or indexer assumes that an index is simply a glorified list, then the resulting index is probably not going to be very good. What is missing is a clear structure.</p>
<p>I like to think about structure in terms of the hierarchy of information. Information within any given book is typically layered or nested. At the top is the metatopic, which is what the book as a whole is about. Below the metatopic, often given their own chapters, are the supermain discussions, which are the key facets or arguments of the metatopic. Below the supermain discussions are the regular discussions, which flesh out the supermains. At the bottom are all the little details and examples which further give life to the book.</p>
<p>Mirroring the book, the index should somehow reflect each of these layers. The metatopic, supermain, and regular discussions should each have their own arrays. The relationships between topics and levels should be clear through subheadings or cross-references. Instead of a list, the index becomes an interconnected web, allowing the reader to enter the text through multiple entry points. This is what I mean when I say that the index needs a coherent structure.</p>
<p>What the structure actually looks like for any given index will vary. While I often have an approach in mind when I begin an index, I don’t recommend trying to shoehorn an index into a specific template. It is important to pay attention to how the book is actually written and how the information fits together.</p>
<p>That said, by way of example, here are three different structures for three different types of books:</p>
<ul>
<li>A book with a strong, central metatopic, like a biography or a corporate history. This will likely have an extensive metatopic array for the central subject. I don’t like breaking up a person’s life and scattering those chunks throughout an index. Other main topics and details, which can stand alone, would be their own arrays, revolving around the central subject.</li>
</ul>
<ul>
<li>Other books, say a business book on leadership, can more easily be broken down into their constituent supermain discussions. Each leadership quality, in this example, would receive its own array with subheadings. The metatopic array, for leadership, would likely be short, mostly consisting of cross-references to the various qualities. This is a more decentralized structure, anchored by the various qualities.<span class="Apple-converted-space"> </span></li>
<li>Other books may be even more decentralized. A hiking guide, for instance, is essentially a list of hiking trails, along with details of scenic mountains, lakes, or rivers, which readers may also search for. A metatopic array for hiking is probably not useful, unless there is generic hiking advice or safety tips which need to go somewhere. Supermain arrays may also not be relevant, though if the hikes are organized by region or theme, then perhaps those regions or themes should also be reflected in the index. Instead, the emphasis in the index should be on the individual hikes, along with other relevant details. This may end up looking like a list, and that’s okay because it suits the content.<span class="Apple-converted-space"> </span></li>
</ul>
<p>In the three examples above, the index structure varies considerably, from an extensive metatopic array anchoring the index to the emphasis being on all the details. The appropriate structure depends on what the book and audience needs. What remains true in each case is that the choice of structure is deliberate.<span class="Apple-converted-space"> </span></p>
<p>When structure is ignored, or assumed to be a byproduct, or thought to be synonymous with format, I fear that the index is not going to be nearly as useful or easy to navigate. A list is fine. It’s also inert, doesn’t indicate relationship or the depth of complexity that exists within a book. I know that the index is supposed to point to information, not reproduce the book, and I think that giving the index a clear and deliberate structure is the best way to point towards information, rather than compiling a list which is easy to gloss over.<span class="Apple-converted-space"> </span></p>
<p>A good structure is also part of the value that a human indexer can bring. As human indexers, we do more than extract terms. We can organize and structure those terms to provide context and to facilitate navigation and retrieval. We can go beyond a list.</p>
<p>So be human. Be creative. Be intentional. When writing an index, let structure guide your decision-making, alongside term selection.<span class="Apple-converted-space"> </span></p>

										<content:encoded><![CDATA[<p>As you’ve probably noticed, AI is still around, being pushed and integrated into almost everything. I find it interesting talking to friends and colleagues about whether and how they use AI. There are a few instances where it seems genuinely useful, but more often than not it still seems like a waste of time, designed by people who don’t actually understand the work that people do.<span class="Apple-converted-space"> </span></p>
<p>I’ve written before about AI, <a href="https://stephenullstrom.com/hello-ai-goodbye-indexers/">here in 2023</a> and <a href="https://stephenullstrom.com/is-ai-indexing-nearly-here/">again in 2024</a>. I’ve been thinking for a few months about writing on this topic again. Perhaps this will turn into an annual AI reflection, as the technology progresses and as society and publishing adapt.</p>
<p>Indexers are no exception to talking about AI. I think it has been on the agenda at just about every indexing conference in the last year or so, in Canada, the UK, and the US. Which is good. We need to be aware of what is happening and what our options and response are.</p>
<p>Elizabeth Bartmess, in the US, and Tanya Izzard, in the UK, have both been particularly active, and perhaps the most visible, researching and testing AI’s indexing capabilities. My thanks to them for all of their work. By AI, Elizabeth and Tanya specifically mean large language models (LLMs) such as ChatGPT and Claude, which is what most people think of when they hear the word AI.</p>
<p>For a quick reference of recent articles and resources, here’s a little round-up:</p>
<ul>
<li>Tanya Izzard has published two recent articles on AI. The article published in <a href="https://www.liverpooluniversitypress.co.uk/doi/10.3828/index.2024.24"><i>The Indexer </i></a>is behind a paywall, while the article published in <a href="https://journals.cilip.org.uk/catalogue-and-index/article/view/746"><i>Catalogue &amp; Index </i></a>is open source and freely available.<span class="Apple-converted-space"> </span></li>
<li>The Digital Publications Indexing Special Interest Group (DPI-SIG) has released a <a href="https://digital-publications-indexing.org/index.php/statement-on-ai-in-indexing/">statement on AI in indexing</a>, prompted by Elizabeth Bartmess’s presentation at the ISC/SCI conference in Vancouver. The DPI-SIG has also created <a href="https://digital-publications-indexing.org/index.php/statement-on-ai-in-indexing/template-ai-statements-for-individual-indexers/">template versions of the statement</a> for individual indexers to use.</li>
<li>The American Society for Indexing (ASI) has released a <a href="https://asindexing.org/ai-news/white-paper-ai-index/">white paper</a>, by Elizabeth Bartmess and Michele R. Combs, on LLM-generated book indexes.</li>
</ul>
<p>Bottom line: current LLMs do not write good indexes.<span class="Apple-converted-space"> </span></p>
<h1>AI-Powered Indexing Software</h1>
<p>Indexing software utilizing AI is also now on the market. I expected this would happen and I have mixed feelings about it finally happening. There are currently two programs available that I am aware of.<span class="Apple-converted-space"> </span></p>
<p><a href="https://indexstudio.app">IndexStudio</a> appeared first, earlier this summer. It is created by <a href="https://petertanham.com">Peter Tanham</a> and claims to create a full draft while also providing tools to edit the resulting index. I tried its free trial, which did not allow me to use the editing tools, but if the sample index it allowed me to see is any indication, it does not do a thorough job, showing many of the same problems found elsewhere by Elizabeth and Tanya. A few other indexers have tested IndexStudio more thoroughly, and have also found it to be significantly lacking.<span class="Apple-converted-space"> </span></p>
<p>I also don’t trust the claims that Peter Tanham makes about IndexStudio. The testimonials on the website are obviously fake, as a google search fails to find any of the quoted indexers, authors, and scholars. The website also clearly sees Cindex as a direct competitor. It is hard to not get the impression that IndexStudio is intended to disrupt the indexing profession, as in replace professional indexers. Yet Peter <a href="https://stephenullstrom.com/the-future-of-indexing-software/">left a comment on my blog</a> claiming that IndexStudio is actually created for self-published authors and is not intended to replace professionals. I agree hiring a professional indexer is often expensive for many authors, which is a problem. But offering a poor quality alternative does not strike me as a good solution, and disingenuous marketing and messaging makes me suspicious.</p>
<p><a href="https://ai-indexing.com">AI-indexing</a>, created by Ben Vagle, launched a couple of weeks ago. Ben also wrote an <a href="https://medium.com/@ben.vagle/using-ai-to-index-books-9a26b3ca9f17">article explaining the program</a>. This seems designed to be more of an assistant to professional indexers, rather than claiming to create an entire index by itself. The instructions explicitly state that the output will need further editing. The output can also be exported to Cindex, which is promising as Cindex does make editing a lot easier. I have thought that if AI was ever used in indexing, it would work best in an assisting role, so this program might be a step in the right direction. That said, I have been too busy this month to try this out, so I can’t comment yet on whether AI-indexing lives up to its claims.</p>
<h1>AI and the Nature of Indexing Work</h1>
<p>Much of the discussion around AI and indexing has focused on whether or not LLMs can actually write an index. Which is a very important question. I have no interest in using a tool that fails to deliver what I need. What I have not seen so much, beyond a fear that AI may replace indexers, is a discussion on how AI may change the nature of indexing.</p>
<p>I write indexes in part because I enjoy the creative and intellectual challenge of analyzing a book and piecing together an index that will serve readers. To write an index is to solve problems, trying to find the perfect balance between the contents of the book, the needs of the audience, and the space available on the page. It is difficult work, and rewarding because it is difficult.<span class="Apple-converted-space"> </span></p>
<p>Is AI going to take away that sense of challenge and creativity?</p>
<p>A common fallacy about indexing I’ve noticed in non-indexers is the belief that writing an index is simply a matter of identifying and picking up terms. Before AI, this manifested as creating a list of keywords and using the search function to search PDF proofs for all relevant hits. When I first learned to index, in-house, my supervising editor sometimes used this method, seeing it as a way to get started on the index—creating the word list—before the proofs were ready.</p>
<p>But an index is more than just a list of key terms. Yes, there is an element of searching for terms, and some books lend themselves to keyword searches more than others. But an index also requires paying attention to the implicit content, which is often also indexable, as well as how the book is organized and structured. An indexer considers the audience and shapes the index accordingly. An indexer also shapes the index to fit the pages available, which can lead to drastically different indexes depending on how limited the space is.</p>
<p>All of these decisions, beyond identifying keywords, are uniquely suited to humans. It is a question of priorities, trade-offs, and knowing how to manipulate the index in response to the particular context of each book and audience. My concern with AI tools is that 1) the tool makers are operating under that fallacy, focusing on keyword search, and not making room or providing tools for these other aspects of indexing, and 2) that AI tools, by allowing the user to be more hands-off, will enable users—whether authors, publishers, or even indexers—to fall into that fallacy and to assume that whatever the AI produces is good enough.<span class="Apple-converted-space"> </span></p>
<p>How can we keep indexing human centered, both the creation of indexes and their usability?</p>
<p>My other fear with AI tools is that instead of me being in control, problem-solving and making decisions, that I will become an assistant to the AI. By letting the AI create the first draft, I am ceding that initial decision-making about what is relevant and how the index should be structured. Instead of my approach guiding the way, I’m editing what the AI wants to do.</p>
<p>I wonder what is lost in that.</p>
<p>For the index, I fear a loss of value and usefulness. I don’t think an algorithm can properly discern what an audience needs or wants, or how to prioritize and juggle competing demands if space is tight. Not that I or any other human indexer will always get it right either, but I like to think that a human, coming at this from a human perspective, will usually do a better job. If I am simply editing what the AI decides, I am concerned that whatever errors are present, even subtle errors, will be reinforced rather than corrected.<span class="Apple-converted-space"> </span></p>
<p>For myself, I fear a loss of creativity and meaning. For better or worse, and as difficult as it can be, I thrive on problem-solving and bringing order to chaos. This is part of what makes me human. If I surrender these aspects of my work to AI, I don’t think I’d want to index anymore, to be honest. I’d find some other line of work that allows me to be creative and to problem-solve. Maybe it is egotistical of me to say that I need to be in control, but I feel like there is something lost in my humanity if I give responsibility for the index to the AI and my role is simply to clean up what the AI produces.</p>
<p>Considering all of this, I’ve also been asking myself the question, is there a difference between using an AI tool and hiring a subcontractor? What is the difference, really, if in both cases I am delegating a portion of the index while retaining the final say? I have to admit I am struggling with the answer. I want to believe that a human subcontractor is inherently better, with their human perspective, which gives them the ability to look beyond a keyword search and the capacity to learn and incorporate feedback. Trust is also an important factor, in that I can build trust with a human subcontractor as we work together and they learn what I am looking for, whereas I have very little trust in an AI’s ability to learn and deliver. Corrections to an index are often very specific, not index-wide, like I assume an algorithm would try to impose. Perhaps it depends on what I am asking the subcontractor or AI tool to do, as sometimes all I want is a simple list of all names or scripture references, for example, and other times I do want the subcontractor to take on a larger role shaping the index.</p>
<p>At this point, the question of AI tools versus subcontractors is still theoretical. I don’t trust AI tools enough and I value what humans bring to the job. But if AI-powered indexing tools progress, this is a question that will need to be answered. Both by indexers who do use subcontractors and by all indexers on if and how to adjust how they work.</p>
<p>This question of subcontractors also ties back to my concern about who is assisting who when using AI. Subcontracting does involve giving up some control over the work, but I feel like the lines are still clearer with subcontractors. I can be clear about what I ask the subcontractor to do, in my review of the subcontractor’s work, and in what I retain for myself. With AI, the lines seem blurred. AI is so fast and at least gives the illusion of power and accuracy that it can be easy to trust the output, to the point where it is no longer really my index anymore. For an AI tool to be effective and for me to feel good about signing off on the index, it clearly needs to be a tool under my control, with me understanding the text, audience, and any other constraints, and making decisions accordingly.<span class="Apple-converted-space"> </span></p>
<h1>Ethics and Legalities</h1>
<p>The last consideration, which is also important to keep in mind, are the ethical and legal dimensions of using AI tools for client work. At least one of my publisher clients has explicitly forbid all AI tools while working on their books. I think that policy is subject to change, as tools evolve and as privacy issues and concerns may be resolved or allayed, but for the time being I think AI in publishing remains a fraught subject and I want to respect my clients’ policies. If I ever find an AI-powered tool that I want to use, I would need to first discuss that with the client before using it with their books.<span class="Apple-converted-space"> </span></p>

<p>As I’ve tried to explain above, I have questions and concerns about AI, not only about whether AI tools can produce quality work, but also about how it may change the nature of indexing work and how it may affect what makes us human. The claims of AI are very different compared to software such as Cindex. Cindex is powerful in its own right, but it still requires me to manually create all of the index entries and decide how the entries are structured together. Cindex is clearly a tool under my control. AI has the potential to blur that distinction. What is the effect on me if my role transforms into feeding the machine? I am concerned about the unintended consequences, both for indexers and the indexes we write, and wish I had more answers. Time will tell, I suppose.</p>

										<content:encoded><![CDATA[<p class="ck-paragraph" data-slate-node="element"><span data-slate-node="text">I am back home and catching up on sleep after attending the Indexing Society of Canada/Société canadienne d’indexation (ISC/SCI)’s annual conference, held this year at the University of British Columbia (UBC), in Vancouver.</span></p>
<p class="ck-paragraph" data-slate-node="element"><span data-slate-node="text">I enjoy attending the Canadian conferences. Being Canadian myself, ISC/SCI feels like “my” society in a way that the American Society for Indexing (ASI) doesn’t, even though I am currently a member of both and ASI has a lot to offer too. It is a treat to see and converse in-person with friends and colleagues.</span></p>
<p class="ck-paragraph" data-slate-node="element"><span data-slate-node="text">It is also far more social interaction than this introvert is used to. I woke up on the second day with a somewhat hoarse voice and, throughout the second day, definitely felt the strain of social exhaustion. And that’s okay. I’m still happy I attended. The key, for me, is to pace myself and find moments when I can move and be alone. The weather was lovely and UBC is such a lush campus (and my alma mater), so walks alone to explore at the beginning and end of each day were crucial. </span></p>
<p class="ck-paragraph" data-slate-node="element"><span data-slate-node="text">I am still sorting through my thoughts and notes on all that was said and presented. As always, an excellent slate of presenters. Here are some of my highlights.</span></p>
<ul class="ck-unordered-list" data-slate-node="element">
<li data-slate-node="element"><span data-slate-node="element"><a class="ck-link" href="https://rhondakronyk.ca/" data-slate-node="element" data-slate-inline="true"><span contenteditable="false">​</span>Rhonda Kronyk<span contenteditable="false">​</span></a>’s keynote on indexing and the <em data-slate-leaf="true">Elements of Indigenous Style. </em>I index a number of Indigenous titles each year and I found Rhonda’s talk to be very thought provoking. Particularly the importance of consulting with authors and the relevant Indigenous communities, and of pushing back against indexing convention when they prove a barrier to Indigenous knowledge, names, and approaches. I’ve noticed, in the last couple of years, a significant shift in how books by and about Indigenous Peoples are written (at least among the books I index). I support the changes I am seeing, which often have to do with privileging Indigenous terms and names, and I agree it is important that indexing likewise shifts. The question is how, and Rhonda’s talk was very helpful, both for laying out the rationale for change and for practical advice. <li data-slate-node="element"><span data-slate-node="element">AI can’t index! I think indexers generally know this, or at least we want to believe that this is true while also being afraid that someone will develop an AI that proves us wrong. <a class="ck-link" href="https://www.elizabethbartmess.com/" data-slate-node="element" data-slate-inline="true"><span contenteditable="false">​</span>Elizabeth Bartmess<span contenteditable="false">​</span></a> gave an excellent presentation on her attempts to find an AI (more specifically a large language model (LLM)) capable of indexing. Key takeaways for me: AI’s approach to indexing is essentially autocomplete. It is not effective nor reliable. Also, the larger challenge for indexers are misconceptions about AI and how indexes are written. As indexers and indexing societies, we need to do better to effectively communicate why humans are better indexers. It sounds like the <a href="https://digital-publications-indexing.org">Digital Publications Indexing Special Interest Group</a> will begin creating resources for indexers to use, to keep an eye out for that.</span></li>
<li data-slate-node="element"><span data-slate-node="element">A passing mentions flowchart, from <a class="ck-link" href="https://www.emmawjohnson.com/" data-slate-node="element" data-slate-inline="true"><span contenteditable="false">​</span>Emma Warnken Johnson<span contenteditable="false">​</span></a>. Absolutely brilliant. So helpful for thinking about what is actually indexable, especially when there is a tight space limit for the index. I also learned that Emma and I have a client in common and have worked on several of the same books, me as indexer and Emma as proofreader. Publishing a very much a team effort, and always fun to realize I’m working on the same book with someone I know.</span></li>
<li data-slate-node="element"><span data-slate-node="element">Move and stretch! An insightful presentation by physiotherapist Natalie Grant on common physical issues experienced by people with sedentary jobs and advice on how to prevent and counteract. I like to think I’m reasonably good at moving, but realistically, I could be even more intentional.</span></li>
<li data-slate-node="element"><span data-slate-node="element">Presenting someone else’s presentation. I feel strongly about the importance of good pricing, and appreciated Michelle’s focus on the numbers, making the pricing process a bit more objective and focused on what you need for a sustainable business. <li data-slate-node="element"><span data-slate-node="element">My live indexing workshop on Sunday afternoon. This ran a bit smoother and less nerve-wracking than the first time I did it, so I am thankful for that. I am also so thankful for all of the participants and their excellent questions and discussions on the various facets of drafting and editing an index. While I am there to present my approach, I think the workshop is much richer when others offer their perspectives too. That was fun, and a great way to end the weekend.</span></li>

I’ve got a few projects on my desktop I need to index over the next few weeks. A couple of colleagues recently raised AI on a couple of indexing email lists. I get the sense that many indexers are concerned about the potential for AI to replace us, or at least that publishers will believe that AI can replace a human-written, thoughtfully constructed index. I have to admit I also feel uncertain about what the future holds. <a href="https://stephenullstrom.com/hello-ai-goodbye-indexers/">I wrote about AI and indexing last year</a>, and I think it is worth considering again.<span class="Apple-converted-space">&nbsp;</span></p>
<h1>Is Indexing by AI Nearly Here?</h1>
<p>One colleague flagged <a href="https://scholarlykitchen.sspnet.org/2024/07/30/ai-enabled-transformation-of-information-objects-into-learning-objects/">this article from <i>The Scholarly Kitchen, </i>“AI-Enabled Transformation of Information Objects Into Learning Objects,” by Lisa Janicke Hinchliffe</a>. Hinchliffe reviews three new AI tools which purport to help readers access and understand academic writings. Of particular interest to indexers is what Hinchliffe writes about <a href="https://www.papersapp.com">Papers AI Assistant</a>:<span class="Apple-converted-space">&nbsp;</span></p>
<blockquote><p>When exploring the functionality as a beta tester, I was curious how the results compared to my pre-AI tool practice of making heavy use of CTRL-F to locate keywords in lengthy texts. I found that, not only did the Papers AI save me a great deal of time by providing me with an overview annotated with links to specific sections of the text, it also often alerted me to places in the text where my topic of interest was conceptually discussed without the use of the specific keywords I would have searched.</p></blockquote>
<p>Did you catch that last bit? Papers AI Assistant can apparently identify discussions of interest without the use of a keyword search. That is what a good index is supposed to do. Is this the beginnings of an AI that can replace indexers? Hinchliffe also writes that, “I am excited by the possibilities these AI tools offer for moving the focus from access to information to comprehension of it.”</p>
<p>A few thoughts: I have to admit that I am skeptical of the claim or hope that Papers AI and similar tools will help readers comprehend information. My sense is that AI works best as a tool, with the user clearly understanding its strengths and limitations, and with the user making the final decision on the quality of results and how best to use the results. That is similar to how I use the search function when indexing. Search is useful for double-checking facts and mentions, but I know that it doesn’t catch everything and isn’t good at providing context; I still need to read and understand the book. My fear is that many users will uncritically accept whatever the AI tool tells them, turning a program like Papers AI into glorified CliffNotes and enabling an even shallower engagement with the text.<span class="Apple-converted-space">&nbsp;</span></p>
<p>I think it is also worth pointing out that what is described here is not an index. An index is a static document that is browsable. That is very different from an AI highlighting a handful of potentially relevant passages. Browsability is key to an index because it allows the user to serendipitously find information they didn’t know they wanted to find. Being handed a few options leaves the rest of the text opaque and unaccessible. I imagine a user can keep asking the AI new questions, but that puts the onus on the user to know what they are searching for and how to ask relevant questions.<span class="Apple-converted-space">&nbsp;</span></p>
<p>Of course, if an AI can identify concepts and discussions in the absence of clear keywords, then a logical next step could be to ask that AI to generate an index. I can see value in the ability to create an index on the fly, for any document. I don’t know how much I would trust such an index, though. Hallucinations is one issue. Another is that AI, essentially, is built upon algorithms. Answers are always going to be follow a certain pattern. While indexing is built upon rules and conventions, the indexer also plays a key decision-making role as they shape the contents, phrasing, and structure. These judgement calls extend beyond the formal rules of indexing to take into account elements such as the audience and usability. I am skeptical that an AI would be able to understand and produce these nuances.</p>
<p>Another issue is that these AI tools are entirely digital. They will not work on a print book, though, of course, an AI-generated index could be published in print. Is the future of publishing and of engagement with texts entirely digital? Perhaps in academia and other specialized fields, in which there is so much information to access and consume. <a href="https://www.statista.com/chart/24709/e-book-and-printed-book-penetration/">Print sales remain strong</a>, however, and I am hopeful that there will continue to be a place for print indexes. Perhaps the future—finally arrived?—is what embedded indexing has long promised, which is one index capable of being used in multiple formats.<span class="Apple-converted-space">&nbsp;</span></p>
<p>Besides AI replacing indexers, I think it is also worth considering how we as indexers can use AI in our own work. I am aware of one colleague who uses ChatGPT to summarize complicated books and to answer queries about the text, which helps that indexer comprehend the book more quickly. Which sounds very similar to what Papers AI claims to do. I think that is a legitimate use of AI. So long as the indexer is in control—using the AI as a tool, understanding both indexing best practices and the contents of the book, and is actively shaping the index—then why not use AI? I’m also open to having AI index elements which are time-consuming to pick up, such as scientific names, so long as the indexer is providing quality control. What I don’t want to see are indexers—or anyone else—passively accepting an AI-generated index, assuming that it is accurate and functional when it is actually not. That is my worse nightmare about AI, that we abdicate our critical thinking and decision making skills, potentially leading to errors and disasters because we have lost the ability to assess what AI is telling us.</p>
<h1>Author Pushback</h1>
<p>In contrast to the gold rush to embed AI into publishing, another colleague pointed out that some books are beginning to be published with prohibitions against AI and machine learning listed on the copyright page.<span class="Apple-converted-space">&nbsp; </span>I also recently noticed this in a book I am indexing.</p>
<p>I’ve also heard from a trade client that their authors are starting to insist that book contracts include a clause that their books will not be uploaded or otherwise used to train AI. By extension, this means that all freelancers hired by this press, including myself, are not allowed to use AI tools while working on their manuscripts and proofs (which isn’t a problem for me, since I wasn’t doing so anyway).<span class="Apple-converted-space">&nbsp;</span></p>
<p>Will authors and publishers win against AI? Will publishers find ways to enforce their contracts and prohibitions? Will publishers change their minds, or will AI developers sufficiently address the fears that authors have? I suspect this may be an area where the publishing industry goes in two different directions: some segments, such as academic publishing, which prize easy access to information (provided you can get behind the paywall), will embrace AI, while other segments, which care more about the author and which sell directly to readers, will reject AI.<span class="Apple-converted-space">&nbsp;</span></p>
<p>Or, maybe AI in publishing is a bubble and these new applications will fail to live up to their hype.<span class="Apple-converted-space">&nbsp;</span></p>
<p>I still think that someone will try to develop an AI capable to writing an index. Some publishers will probably adopt it for the sake of saving time and money, even if the resulting indexes are useless. I am also hopeful that the value of the human touch will remain. Even if AI is incorporated into our work, I think there is still place for human guidance and discernment. Machines may be capable of generating an approximation, but only humans can create what is truly useful for other humans.</p>

<p class="wp-block-paragraph">Will AI replace indexers?</p>



<p class="wp-block-paragraph">I think a lot of indexers have that question lingering in the back of their minds, similar to professionals in many industries.</p>



<p class="wp-block-paragraph">The standard answer against artificial intelligence is that indexing is complex and nuanced enough that only a human, with good reasoning and judgment, can craft a quality index. AI—so I understand—is limited by the parameters within which it is constructed. It works great for tasks which follow a template. While indexing certainly has its rules and conventions, every book is different, every audience is different, and every index is going to be different.</p>



<p class="wp-block-paragraph">Software already exists that attempts to index by algorithm. Will someone attempt to connect these programs to AI? Probably. There is a lot of incentive in publishing to cut costs and produce books as cheaply as possible, especially in areas like scholarly publishing that don’t sell many copies and has limited profit. But indexing is not just a matter of identifying and listing terms and attaching page numbers. Will AI improve to the point where it can distinguish between relevant discussions and passing mentions, gather synonymous terms and discussions into a single array, and accurately identify and pick up implicit discussions? I am curious to find out. I am also hopeful that there will still be a market for human-written indexes. That there is something about the creativity of writing an index for a complicated text that AI will never be able to replicate.</p>



<p class="wp-block-paragraph">I am also curious to see how my thoughts on this age in five, ten, or twenty years (or even just six months).</p>



<p class="wp-block-paragraph">In the meantime, I thought it would be fun to ask an AI chatbot about indexing. I was inspired after seeing a colleague post to an indexing email list that they had asked ChatGPT if it could write an index, and ChatGPT replied no. For my own little experiment, I decided to ask Microsoft’s Bing.</p>



<p class="wp-block-paragraph">As a disclaimer, I realize that there are limits to this experiment. AI is an evolving field, and I may get different answers at a later point in time. I may also be asking the wrong AI, if someone is indeed out there trying to train an AI to index. But I still had a lot of fun asking Bing questions about indexing. I was surprised by some of the answers I received. I hope you enjoy the exchange too.&nbsp;</p>

<p class="wp-block-paragraph">To start, I got straight to the point: “Can you write me a book index?”</p>

Bing even cited&nbsp;<a href="https://writingcooperative.com/five-step-process-for-writing-a-book-index-9e2e5d763302" target="_blank" rel="noreferrer noopener">an article I wrote on Medium back in 2019</a>! And the answer isn’t bad. It could use more clarity around “mark the entries and their page numbers,” which I think is a bit confusing, but Bing does get across the gist of indexing.&nbsp;</p>



<p class="wp-block-paragraph">I decided to ask again: “Using the above process, can you write me an index for a book?”</p>

<p class="wp-block-paragraph">There you have it: Microsoft’s Bing, at least in its current iteration, is not ready to tackle indexing. I feel a little relieved, while keeping in mind the caveats I mentioned above. And though Bing isn’t ready to index, I was impressed with how well it described indexing. While not perfect, it was a fairly coherent and comprehensive attempt.</p>

<p class="wp-block-paragraph">PS. If you are interested in more, I tried asking Bing again about indexing, and had a much more extensive discussion. I stopped when the answers started to get repetitive. I thought some of the answers unintentionally funny, disagreed with some of the advice, and I still think that soliciting advice, and an index, from a professional human indexer is the better choice. But overall, I am impressed with what Bing was able to pull together, and am relieved to hear that indexing is no joke. (I was also surprised to be scolded by an AI.) Here is the discussion.</p>
